For DePaul student organizations, faculty, or staff who are conducting the business or mission of the university, the Student Center has several rooms and event facilities available to you at no charge at the Loop campus. Students, faculty and staff also have the opportunity to rent meeting and banquet rooms for personal events at a discounted rate.

For Members of the Larger DePaul Community

Individuals and organizations not directly connected with DePaul may take advantage of DePaul's excellent facilities for their next meeting or event. Excellent rates are available. DePaul faculty, staff, or students who wish to hold a personal event may also utilize our facilities at these rates.

Policies

   

Cancellations:

To cancel a reservation, the Conference Services office must receive written notice 5 business days prior to the Event. Events paid in full or deposits received prior to cancellation and proper cancellation notice given, total payment will be refunded. Events cancelled less than 5 business days will be refunded 50% of total payment, however deposits will be non-refundable.

Maximum Capacities:

The fire code capacities of each room are based on the setup of that space. These can be found at the Locations section and will be strictly enforced. This limit is in place to protect the safety of you and your guests. Under no circumstance can the DePaul University Student Centers accommodate more than those maximums stated above.

Catering:

Chartwells is the exclusive caterer of DePaul University.  Outside caterers are not allowed on the premises to cater your event.  Please contact Chartwells at www.depaulcatering.com for more information about menus, pricing, and policies. 

Donations of food for DePaul departments and student organizations may be arranged in certain circumstances.  For more information, contact the Director of the Student Centers at 773-325-7346.

General Information:

All DePaul facilities are non-smoking.

Open flame candles are not to be used in any facility. Well-enclosed tea light candles or votives must be approved by the Coordinator.

Rates

Types of Meeting Events

University-Related Event:
A University-related event is one that is internally sponsored and led by a department, faculty member, student organization, or employee of DePaul for some benefit to the DePaul community. University functions are normally exempt from room rental, facility set-up, and/or audio-visual fees. (See: Special Conditions)

1.  Special Conditions:

  1. Department, faculty, and employee events requiring registration payment and/or admission costs to attend will be subject to room rental costs.
  2. Student organizations holding fee related events in support of their organization may be subjected to rental fee.
  3. All events providing food must be catered through Chartwells.
University Co-Sponsored Event:
A University co-sponsored function is one that is led or supported by the University, a department, or faculty member in which the DePaul community derives a benefit and the entire university community is welcomed.

1. Special Conditions:

  1. Any department, faculty member or employee co-sponsoring an event with an outside organization is responsible for providing an internal liaison to handle special needs for the event. Loop Student Center staff will assist the internal liaison only with any event planning needs.
  2. Any co-sponsored event must supply Loop Student Center with all advertisement, i.e., flyers, programs, brochures, and websites to ensure compliance with time and place requirements.
  3. Any events requiring registration payment and/or admission costs to attend are subject to room rental costs.
  4. Internal departments and schools that receive payments from co-sponsored groups are subject to rental costs.
  5. All events providing food must be catered through Chartwells.
  6. Events that are in competition/conflict with a DePaul University program or course are prohibited.
Non-University Event:
A non-university event is one that has no affiliation/association with the University. Non-university functions are charged at prevailing room rental fees.

1. Special Conditions:

  1. Planned events that are in competition/conflict with a DePaul University program or course are prohibited.
  2. All events providing food must be catered through Chartwells.

Room rates reflect regular hours of 7:30 a.m. - 9:00 p.m.  All events must end as scheduled and approved by Loop Student Center.  External events that extend beyond their end time will be charged at a rate of $50.00 per half hour.
